Melbourne Wealth Management Permanent An exceptional opportunity has arisen for an Advisor Team Assistant to join a prominent US private wealth advisory team, supporting a small group of senior investment advisers in a premium client-focused environment. This role offers a valuable entry point into private wealth management, where you will gain exposure to financial markets, client servicing, and the operational backbone of a fast-paced advisory desk. This is a full-time permanent position based in Melbourne CBD. Typical working hours are from 9:00am to 5:00pm, with occasional flexibility depending on team activity. Key Responsibilities Team & Adviser Support Act as a key point of coordination between the adviser team, internal operations teams, clients, and third-party providers Support daily workflow for advisers including diary coordination, internal follow-ups, and task tracking Prepare briefing packs for internal and client meetings including portfolio summaries, research, valuations, and investment recommendations Client Service & Communication Manage inbound client queries via phone and email with professionalism and urgency Assist with client onboarding, KYC, and account maintenance processes Coordinate follow-ups from client meetings including preparation of investment paperwork, account updates, and instruction processing Liaise with clients’ accountants or external advisers regarding portfolio documentation and tax-related reporting Administration & Documentation Assist with preparation and submission of investment applications, corporate action instructions, and compliance documentation Maintain up-to-date records of client preferences, investment holdings, and meeting notes Coordinate the distribution of holding statements, quarterly performance reports and transaction summaries Market Support (optional depending on experience) Assist with basic trading execution support including order monitoring, pricing queries and trade confirmations Provide general market research support including pulling product data, company updates and market summaries General Operational Support Liaise with internal operations teams (e.g. settlements, client services, compliance) to ensure seamless execution of client instructions Assist with tasks related to managed funds, platforms, term deposits and corporate actions (as needed) Track and monitor important tasks to ensure no client matters fall through the cracks Skills & Experience Required Qualifications A tertiary qualification in Finance, Commerce, Economics or Business is preferred but not essential Experience 2–6 years of experience in a professional services or financial services environment Prior experience supporting financial advisers or client service teams in wealth management, private banking, or investment platforms is highly regarded Skills Outstanding written and verbal communication skills High level of attention to detail and organisational ability Strong client service ethic and ability to manage client relationships professionally Competency in Microsoft Office (Excel, Word, Outlook); experience with financial software (e.g., IRESS, Xplan, or platforms) is advantageous Ability to prioritise competing tasks and operate effectively under pressure in a team environment
