Due to continued growth, we are seeking a motivated and detail-oriented Project Administrator to join our dynamic team on a full-time basis. This is an exciting opportunity for an experienced administrator with strong coordination and documentation skills to support the successful delivery of government infrastructure and civil works projects. ROLE OVERVIEW: Coordinate the planning, execution, and completion of government infrastructure projects for the government related works, managing permits, documentation, subcontractors, and client communications across all project phases. KEY DUTIES AND RESPONSIBILITIES: Docket Approval & Audit (Daily) Review and sign off completed job dockets, cross-check quantities, labour hours, and materials against site records prior to invoicing. Permit Coordination - BYDA, ATCO, Workzone, MRWA (Daily) Coordinate permit applications and approvals for all City of Perth projects; confirm subcontractor schedules; establish communication channels with crew, client, and traffic management teams. Supplier Sourcing (As Required) Source materials, plant, and specialist suppliers; obtain and compare quotes; issue purchase orders. Site Drawings & ATCO Reinstatement Plans (Daily) Produce PDF sketches showing site layout, dimensions, and scope for smaller projects without existing plans; prepare ATCO reinstatement drawings to specification. Tender Document Preparation (Ad Hoc) Compile tender packages including scope of works, bill of quantities (BOQ), method statements, company credentials, and pricing schedules. Process Guides, Manuals & Safety Documents (As Required) Draft step-by-step process guides, traffic management plans, noise management plans (NMP), and SWMS-supporting documents; store in shared drive. General Operational Support (Daily) Provide on-site and in-office support to the team; resolve operational blockers and organise materials or documentation at short notice. Project Mapping (Daily) Use Google Maps and related tools to define work zones and produce location maps for scheduling and crew deployment, particularly for large-scope projects such as tree replacement, urban forest, and lid replacement. Subcontractor & Client Coordination (Daily during active projects) Act as primary point of contact for on-site subcontractors and client representatives; escalate issues; provide project status updates. Project Records & Documentation (Daily) Maintain up-to-date project files including RFIs, variations, photos, correspondence, permits, and as-built records in SharePoint and Asana. Corporate Chart Updates (Monthly) Refresh org charts, project portfolio summaries, and resource allocation charts for management reporting. Follow-Up on Outstanding Items (Daily) Chase pending approvals, outstanding invoices, overdue subcontractor submissions, and unanswered client queries. Skills and Experience Required: Relevant Bachelor Degree and 3 years experience Previous experience in a Project Administrator, Contracts Administrator, or similar coordination role within civil construction, infrastructure, utilities, or related industries. Strong knowledge of permit processes including BYDA, ATCO, Workzone, and MRWA requirements. Experience preparing tender documentation, project records, and operational documentation. Proficiency in Microsoft Office Suite, SharePoint, Asana, and PDF editing tools. Ability to read and prepare basic site sketches and project layouts. Excellent communication, organisational, and multitasking skills. Strong attention to detail and ability to work in a fast-paced environment.
