Initial contract until mid-July with a possibility of extension Daily pay rate of $480 - $530/day super based on experience Office Location: Sydney CBD Purpose of the role: As an Executive Assistant, you play a pivotal role in empowering General Managers to effectively deliver on their responsibilities and goals by working closely with senior leaders and the Executive Assistant Network to enable operational and administrative effectiveness. Key Accountabilities: Effective diary management including screening meeting requests from internal and external stakeholders, negotiating scheduling times and resolving diary clashes. Light inbox monitoring for the General Managers to support informed decision making and planning, including notification of urgent emails and time-sensitive priorities. Provide onboarding and offboarding logistical support for direct report team members. Manage information and coordinate follow up action using discretion, initiative and confidentiality to enable sensitive matters to be dealt with appropriately. Effective administration operations support including managing and booking travel as required, including coordinating approvals, itineraries and payment. Provide event management support for the General Managers’ direct report team including coordination of logistics, catering, venue and tech equipment management, distribution of papers and liaising with guests. Manage the processing component of procurement activities such as payment of invoices and creation of purchase requisitions as appropriate. Manage purchases via Purchase Card including completing the reconciliation process. Work collaboratively with the Executive Assistant and Assistant Network community, including sharing technical knowledge and ways of working to drive efficiencies across teams. Supporting teams with project related tasks as required in alignment with development goals. Essential requirements: A broad range of experience in executive support in a corporate environment. Highly proficient in Microsoft Office 365 Products Strong organisation and coordination skills Ability to prioritise, manage confidentiality and problem solve.
