About the role: We are seeking an organised and detail-oriented Administration Assistant to support our Aged Care team. This role is responsible for providing high-level administrative and rostering support to ensure the smooth coordination of client services and staff scheduling. The successful candidate will have strong organisational skills, the ability to manage competing priorities, and experience working within an administrative environment, preferably within aged care, community services, or healthcare. Key Responsibilities Coordinate and maintain weekly staff rosters and client visit schedules Update permanent changes to client care plan schedules within Etools Liaise with brokerage services and email referrals and care plans for additional client support or staff leave coverage Enter and maintain invoices, client kilometres, and service schedules within Etools Scan and upload client documentation into electronic records Enter and maintain staff leave records Ensure employee information and records are current and accurate within Etools Coordinate staff training, education sessions, team meetings, and book training rooms Schedule and coordinate bi-monthly Clinical Governance meetings Prepare documentation folders for home visit assessments Print, post, and file monthly client statements Monitor client budgets and expiring services Schedule and maintain client appointments and records within Etools Maintain accurate filing systems and electronic documentation About You Previous administration experience, ideally within aged care, disability, healthcare, or community services Previous experience in a similar role, including rostering, within a fast-paced and ever-changing environment. Strong computer literacy and ability to learn client management systems Excellent organisational and time management skills High attention to detail and accuracy Strong communication and interpersonal skills Ability to manage confidential information professionally Ability to work independently and collaboratively within a team environment It will be highly regarded if the applicant has a Cert III Aged Care or equivalent.
