About the Position Nominated Position: Information and Organisation Professionals (Information Management Coordinator) ANZSCO Code: 224999 This position is part of the Unit Group 2249 that includes Other Information and Organisation Professionals. Information and Organisation Professionals support organisations, government, individuals and the community by analysing, organising and managing information and data, and by providing advice on policy, business and organisational methods, and the value of property and other items. Daily tasks include, but not exclusive: 1) Keeping precise and current records of clients' information and immigration case details. 2) Safeguarding data privacy and protection in accordance with data protection laws, regulations as well as OMARA’s protocol. 3) Organizing and managing client documentation, including visa applications, supporting evidence, and correspondence. 4) Maintaining document management systems for efficient retrieval and storage. 5) Ensuring all data and documentation practices comply with immigration laws and regulations. 6) Ensuring compliance and data integrity by reviewing and verifying information in the system and records. 7) Reporting and analysing data to support operational efficiency. 8) Providing insights and recommendations, such as creation of protocols, based on data analysis to improve agency processes. 9) Serving as the point of contact for IT personnel to resolve technical issues related to data systems, working closely with the Operations Manager. 10) Managing client information and ensure that all documentation and records are up to date, involving significant client interaction. 11) Ensuring that client communication records are accurately maintained and easily accessible. 12) Assisting in preparing and sending communications to clients regarding their case status and updates. 13) Training agency staff on proper data management and document handling procedures. 14) Identifying and implementing process improvements to enhance the efficiency of information management within the agency. Requirements: 1) Bachelor’s degree mandatory. 2) At least 1 year of full-time employment in highly related occupation. 3) Portuguese or Spanish fluency is a positive differential. 4) High Level of English mandatory (Superior English).
