As our business continues to grow, we are seeking a highly capable Senior Client Service Officer / Client Services Manager who can take ownership of our advice administration function, manage CRM workflows, and support the continued development of our client service operations. THE ROLE This is a dynamic, senior-level role combining the responsibilities of a Senior CSO with the progression opportunity to step into Client Services Manager duties. You will oversee the end-to-end client administration process, support advisers, and ensure all workflow and compliance steps are completed accurately and on time. As our team expands, this role will also involve supervising, coaching, and mentoring junior Client Service Officers. WHAT YOU WILL DO • Oversee client onboarding, fact-find preparation, review meeting workflow, and SOA/ROA implementation. • Act as a senior point of contact for clients and advisers, handling escalated service requests. • Coordinate adviser diaries, client follow-ups, and ongoing advice service actions. • Prepare and lodge forms with superannuation, investment, pension, and insurance providers. INSURANCE (RISK ADVICE) MANAGEMENT • Manage new applications, underwriting requirements, medicals, and insurer follow-ups. • Support advisers with risk comparisons, policy changes, and in-force servicing. • Ensure all insurance processes meet AFSL, compliance, and record-keeping obligations. WORKFLOW, CRM & SYSTEM MANAGEMENT • Manage and optimise client workflows through our CRMs. • Maintain compliant, accurate client records, file notes, and service-level tracking. • Review and refine templates, processes, and automations to enhance efficiency. • Ensure internal procedures are followed and continuously improved. LEADERSHIP & TEAM DEVELOPMENT • Supervise, mentor, and support Client Service Officers as the team grows. • Provide training, guidance, and quality checks to maintain high operational standards. • Collaborate closely with advisers and management to support practice-wide goals. COMPLIANCE & ADMINISTRATION • Oversee FDS, Opt-In, Fee Consent, and compliance-related obligations. • Ensure AFSL standards are met at every step of the advice process. • Maintain meticulous documentation and escalate potential issues proactively. ABOUT YOU You will thrive in this role if you are proactive, detail-driven, and passionate about delivering an exceptional client experience. Ideally, you bring: • 2–5 years’ experience in a financial planning client services or Senior CSO role. • Experience mentoring, supervising, or leading a small team (or readiness to step up). • Strong understanding of superannuation, retirement products, investments, and insurance administration. • Excellent organisational skills and ability to manage multiple workflows simultaneously. • A confident communicator who builds strong relationships with advisers, clients, and providers. • Strong attention to detail, accuracy, and compliance discipline.
