What you’ll do: Provide comprehensive diary management, effectively prioritising and coordinating a high volume schedule while resolving competing appointments and issues. Collaborate with client and media partner Executive Assistants to coordinate meetings, events, and key engagements. Oversee and maintain Outlook inboxes, including organising, archiving, flagging potential concerns, and ensuring urgent communications are actioned promptly. Support the preparation and drafting of agency-wide communications, invitations, and announcements for clients and media partners. Coordinate all travel logistics, including domestic flights, accommodation, and ground transport. Coordinate and schedule meetings and manage meeting logistics, including preparing and distributing agendas, and recording and circulating meeting notes and action items. Manage end-to-end event logistics, including securing venues, arranging IT support and catering, overseeing set-up and pack-down and managing budgets for cost-effective delivery What you’ll need: Demonstrated experience in a comparable role, ideally as an Executive Assistant or in high-level administration supporting senior leaders Media industry experience is a plus, but not essential; we value capability and attitude above all Strong proficiency across the Microsoft Office suite, with the confidence to work efficiently and independently A warm and approachable, positive attitude Can operate confidently in a dynamic environment with ability to pivot Possess the ability to multi-task and juggle constantly adapting priorities Proactively problem-solve with strategic and creative flair Are a vault of information, always maintaining the highest level of confidentiality and integrity Enthusiastic about engaging and contributing to vibrant agency culture What's in it for you?
