Role Purpose The Contract Administrator is responsible for supporting the preparation, coordination, administration, monitoring, and compliance of client, supplier, subcontractor, and labour hire agreements. The role exists to ensure contractual documentation, commercial terms, service obligations, records, variations, and reporting processes are managed accurately and in accordance with business requirements. This full-time, permanent position contributes to ELEVATE LABOUR PTY LTD’s operational objectives by supporting contract governance, reducing administrative and commercial risk, improving communication between internal teams and clients, and helping ensure workforce arrangements are delivered safely, efficiently, and in line with agreed contractual requirements. Key Responsibilities Prepare, review, coordinate, and maintain client service agreements, labour hire arrangements, supplier documentation, subcontractor agreements, purchase orders, and related contract records. Support contract negotiations by preparing documentation, collating commercial information, tracking agreed terms, and escalating contractual risks or inconsistencies to management. Monitor contract obligations, deliverables, renewal dates, pricing arrangements, insurance requirements, compliance documents, and service conditions to ensure timely action. Maintain accurate contract registers, document control systems, correspondence files, and administrative records to support audit readiness and business reporting. Liaise with clients, subcontractors, suppliers, site supervisors, operations staff, payroll, finance, and management to ensure contract information is accurate and communicated effectively. Assist with the preparation and administration of contract variations, extensions, amendments, rate changes, scope changes, and supporting documentation. Review timesheets, work orders, service records, purchase orders, invoices, and contract-related documentation to support accurate billing and payment processes. Identify and report contract discrepancies, service delivery issues, compliance gaps, or commercial risks and assist in implementing appropriate corrective actions. Support compliance with relevant workplace, labour hire, work health and safety, insurance, and employment-related obligations applicable to workforce services. Prepare regular reports on contract status, outstanding documentation, renewals, variations, cost implications, client requirements, and operational performance matters. Assist in maintaining supplier, subcontractor, and worker compliance records, including licences, tickets, insurances, inductions, and other required documentation where relevant. Coordinate communication between internal teams and external stakeholders to support timely contract execution, issue resolution, and service continuity. Contribute to process improvement initiatives by identifying opportunities to streamline contract administration, improve record accuracy, reduce delays, and strengthen compliance controls. Support management with tender documentation, client proposals, contract schedules, pricing summaries, and other commercial administration tasks as required. Ensure all contract administration activities are carried out professionally, confidentially, and in accordance with company policies and Australian business standards. What We Are Looking For (Requirements) Minimum one (1) year of relevant work experience in contract administration, commercial administration, project administration, procurement, labour hire, construction support, or a related business environment. Relevant qualification in business, contract management, project management, construction management, legal studies, commerce, administration, or a related discipline, such as a Diploma, Advanced Diploma, Bachelor’s degree, or higher. Sound understanding of contract administration processes, document control, compliance tracking, commercial records, and stakeholder coordination. Strong written and verbal communication skills, with the ability to prepare professional correspondence, reports, registers, and contract documentation. High attention to detail, organisational capability, time management, and ability to manage multiple contract deadlines and administrative priorities. Proficiency using Microsoft Office, business administration systems, document management tools, spreadsheets, and digital record-keeping platforms.
