The Future Student Pipeline Coordinator supports Future Student Advisors (FSAs) by managing the operational and administrative components of the future student pipeline from enquiry through to enrolment. The role actively monitors pipeline health, maintains accurate CRM records, identifies opportunities to progress students through key milestones, and coordinates internal actions with relevant teams. By removing administrative burden and improving pipeline discipline, the Pipeline Coordinator enables FSAs to remain focused on student-facing engagement and conversion activities. Principal Accountabilities (but not limited to): Pipeline Monitoring and Coordination Actively monitor the future student pipeline to identify stalled or at-risk cases, stage ageing, and inactivity triggers. Maintain a structured cadence of pipeline health checks and prepare prioritised action lists for FSAs (e.g., students requiring follow-up, missing documents, offer expiry). CRM Administration and Data Quality Maintain accurate and up-to-date student records in the CRM and related systems, ensuring consistent use of pipeline stages, notes, and activity logging. Update pipeline stages in line with defined triggers and process rules, ensuring data integrity and reliable reporting. Internal Process and Stakeholder Support Coordinate with Admissions, compliance, and other internal teams to progress applications, confirm outstanding requirements, and resolve bottlenecks. Track turnaround times and service expectations, escalating delays or recurring issues through agreed pathways. Reporting and Insights Prepare regular pipeline snapshots and conversion reports to support intake planning, forecasting, and performance tracking. Monitor trends (conversion rates, stage drop-offs, turnaround times) and provide actionable insights to the Future Students team. Who you are: Student-Centred Experience You bring experience within Australian education, ideally across student recruitment, contact centre, or student services environments, with a strong focus on delivering high-quality student experiences. CRM & Systems Capability You have working knowledge of CRM platforms such as Salesforce or Microsoft Dynamics, with the ability to maintain accurate data and support pipeline visibility. Performance & Accountability Comfortable operating in a KPI-driven environment, you take ownership of your work, manage competing priorities, and consistently deliver against targets. Relationship Building You build strong, collaborative relationships across teams, enabling smooth coordination and positive outcomes for students and stakeholders. Organisation & Communication Highly organised, you can effectively prioritise tasks and communicate clearly and professionally, both written and verbally.
