Role Overview The Administration Officer provides high-quality, efficient, and responsive administrative support to the Transport and Civil Infrastructure business unit. The role plays a key part in supporting the Manager, Business Operations to achieve team objectives, performance standards, and operational outcomes. Key Accountabilities Deliver high-quality administrative support to teams within the Transport and Civil Infrastructure business unit, including assistance with application processes and documentation requirements. Oversee day-to-day office operations, including facilities maintenance coordination, ordering supplies, and organising equipment replacements as required. Coordinate meetings and committee activities, including scheduling, venue bookings, diary management, minute-taking, and distribution of agendas and minutes. Manage procurement processes, including purchase orders, invoicing, and related administrative tasks. Prepare clear and professional correspondence, reports, and documentation for internal and external stakeholders. Contribute to the continuous improvement of administrative systems and processes to enhance service delivery and operational efficiency. Support the development and implementation of business support procedures and best practices. Key Challenges Delivering accurate and timely work under tight deadlines. Staying up to date with organisational changes and adapting administrative processes accordingly. Collaborating effectively with team members to ensure all tasks and deliverables are completed within required timeframes.
