The Property Administrator Supports the Facilities Manager and Property Manager with daily operations, including maintenance coordination, compliance tasks, and general property admin. Responsibilities : Supporting the Facilities Manager with day-to-day administrative tasks and coordination of maintenance activities across commercial, industrial, and retail properties. Recording, tracking, and following up on maintenance requests and contractor jobs using Trello and internal systems. Arranging and scheduling contractors for routine servicing, repairs, and maintenance works as instructed. Keeping detailed and up-to-date records of property inspections, maintenance works, contractor information, and compliance documents. Assisting in the planning and coordination of preventative maintenance programs and service schedules. Helping manage compliance documentation, including fire safety records, asbestos registers, and contractor insurance details. Communicating with tenants and contractors to organise site access for maintenance and servicing. Sourcing contractor quotes and assisting in compiling data for maintenance budgets and capital works planning. Preparing maintenance reports and summaries for the Facilities Manager and Property Manager. Providing administrative support for insurance matters, including documentation and claims processing when required. Handling general maintenance enquiries and escalating urgent issues to the Facilities Manager as needed. About you: Prior experience in an administrative, facilities coordination, or property support position. Well-developed organisational skills with the ability to manage time efficiently. High level of accuracy with strong attention to detail and effective record management. Confident communication and interpersonal skills when engaging with tenants, contractors, and internal teams. Able to juggle multiple responsibilities and prioritise tasks in a fast-paced environment. Works effectively as part of a team, supporting both the Facilities Manager and Property Manager. Background in commercial property, facilities management, or building maintenance environments. Understanding of compliance obligations related to building safety and maintenance. Experience with job tracking systems or property management software.
