About the West Region Delivery Team The West Region Delivery Team (WRDT) is delivering one of Sydney Water’s most significant infrastructure programs, with a circa $2bn pipeline of works over 10 years. Operating in a collaborative, alliance-style environment, WRDT brings together delivery partners to plan and deliver critical water infrastructure that supports the growth of Greater Sydney. About the opportunity We are seeking an experienced Program Administrator to support our Program Manager and broader senior leadership team within WRDT. This role is central to keeping the program organised, on track and running efficiently. You will work closely with senior leaders to manage priorities, coordinate activity and ensure the day-to-day operations of the program are structured and delivered effectively. Day to day you will; Manage the Program Manager’s diary, including prioritising meetings, forward planning and resolving scheduling conflicts. Coordinate program activities, ensuring key priorities and deadlines are tracked and met, while supporting scheduling, meeting coordination and broader team administration. Prepare agendas, presentations and reports using PowerPoint and Word, maintaining a high standard of quality and consistency. Support the development and coordination of program documents, including reports, submissions and meeting packs. Organise and coordinate meetings, workshops and leadership sessions, including logistics and set up. Act as a central coordination point between the Program Manager, senior leaders and wider team. Maintain key trackers and records to support program reporting and governance. Assist with team communications and general office support as required. What you’ll bring Demonstrated experience supporting senior leaders in a fast-paced, complex environment. Advanced skills in Microsoft PowerPoint and Word, with the ability to produce clear, well-structured and professional documents. Strong organisational skills, with the ability to manage multiple priorities and competing deadlines. Proven experience managing diaries and coordinating across multiple stakeholders. High level of discretion, professionalism and judgement when handling sensitive information. Strong communication skills and confidence engaging with stakeholders at all levels. A proactive, solutions-focused approach, with the ability to anticipate needs and take action. A team-focused mindset and willingness to support where needed.
