About the Organisation Our client is a large and highly regarded Australian university undertaking a significant multi‑year digital transformation program. The program is focused on delivering a modern, cloud‑based Student Management System that will fundamentally improve the student experience across the entire student lifecycle. The initiative leverages a new SaaS platform alongside existing enterprise technologies and involves multiple technical workstreams, internal stakeholders and external partners. About the Role The Project Support Officer will work closely with a Senior Project Manager who is responsible for the technical streams of the program, including: Data Migration Architecture Reporting Environment and Release Management Integrations This role provides a mix of project coordination, governance support and administration , ensuring that the technical streams are well organised, compliant with project frameworks, and able to deliver outcomes on time. Responsibilities Governance and Reporting Coordinate and support project meetings, including scheduling, logistics, agenda preparation and minute‑taking Track actions and follow‑ups to ensure timely completion Ensure alignment with the organisation's project management and governance frameworks Project Coordination and Delivery Support Maintain and update project schedules in Smartsheet Ensure fortnightly status reports are completed by technical leads, including identification of risks and issues Create and maintain agreed processes and documentation in Confluence Support the Integration Project Manager with meeting coordination and minutes when required Schedule and manage Architecture Review Board (ARB) meetings and capture decisions in the decision register Assist with onboarding new resources into the technical streams Support the management of Change Requests and upkeep of the Decision Register Continuous Improvement Contribute to improving project administration processes, templates and systems to enhance efficiency and effectiveness Experience / About You Demonstrated experience providing project coordination or project support on large‑scale digital, data or technology projects Strong organisational skills with the ability to prioritise work and meet deadlines Excellent written and verbal communication skills, particularly in capturing clear minutes and actions Proven ability to work with a diverse range of technical and non‑technical stakeholders Hands‑on experience using Jira and Confluence Proficiency with Google Workspace (Gmail, Google Drive) Familiarity with Agile delivery methods and ceremonies Experience with project scheduling tools such as Smartsheet (desirable) Comfortable working in environments with ambiguity and changing priorities Ability to work independently while contributing effectively as part of a wider project team Understanding of risk and issue management across technical workstreams Highly Desirable: Experience working within a higher education or tertiary environment How to Apply If this role aligns with your experience and interests, please apply via Dixon Appointments or contact our Technology Recruitment team for a confidential discussion.
