Purpose of the Role BGIS is seeking an experienced Performance & Reporting Manager to support service delivery across a large and complex healthcare portfolio. Reporting to the Finance and Commercial Manager, this role plays a key part in ensuring accurate reporting, strong administrative coordination, and effective communication between internal teams, service partners, and the client. Working from our Melbourne Head Office, you will support operational teams by coordinating reporting, managing contractor and vendor data, and ensuring information flows clearly across stakeholders. The ideal candidate is organised, collaborative, and comfortable working in a fast-moving environment where attention to detail and timely reporting are essential. A proactive mindset, curiosity to learn quickly, and strong stakeholder engagement skills will support success in this role. Key Responsibilities Prepare building-specific reports and consolidate them into monthly portfolio reports Support reporting requirements including KPIs, SLAs, maintenance tracking, and operational performance Maintain contractor and vendor databases and documentation Coordinate and prepare account statements and invoicing for contract approval Assist with reporting on planned maintenance, aged jobs, and work-in-progress activities Support client and contractor meetings, including preparing agendas, minutes, and follow-up actions Assist with vendor management and job allocation processes Support contract administration during maintenance events and operational activities Contribute to audit preparation and financial reporting support where required Education, Experience & Skills Essential: Minimum 5 years’ professional experience in administration, reporting, or contract support roles Strong experience working with databases, reporting tools, and administrative systems Advanced proficiency in Microsoft Office, particularly Excel, Word, and PowerPoint Experience working within busy operational environments with competing deadlines Excellent written and verbal communication skills Strong organisational and time management abilities Ability to work collaboratively with a range of internal and external stakeholders Experience preparing reports, metrics, and operational data summaries Desirable: Experience working in facilities management, healthcare, or property services environments Familiarity with CMMS or facilities management systems Previous experience supporting helpdesk or service delivery functions Experience supporting audit preparation or finance reporting Workplace Flexibility This role is based at our Melbourne Head Office (CBD), conveniently located close to public transport and city amenities. The role operates on a hybrid arrangement of 3 days in the office and 2 days working from home, supporting both collaboration and flexibility.
