ACCOUNTABILITIES Support daily administration and reporting requirements for warehouse and distribution operations in accordance with the DWDSS contract Maintain and manage documentation, records, and data entry in relevant systems to ensure data accuracy and compliance Respond to customer and Defence stakeholder queries, providing timely, accurate, and professional communication Escalate issues or service disruptions to the appropriate operational or managerial contact Support the preparation of reports, correspondence, meeting minutes, and operational documentation as required Collaborate with operational teams to maintain transparency, responsiveness, and high service quality standards Assist with onboarding and compliance documentation for Contractor personnel as needed PRIMARY RESPONSIBILITIES AND DECISIONS/ LEVEL OF AUTHORITY Coordinate and deliver day-to-day administrative and customer service support to operational teams Maintain accurate records, forms, registers, and databases in line with contract and audit requirements Provide frontline customer service support for inbound enquiries, complaints, and order tracking requests Generate standard reports and assist in preparation of formal documentation (e.g. meeting packs, activity trackers, KPI reporting inputs) Follow defined procedures for document control, data entry, and query management, escalating where necessary Support team meetings and project work through agenda preparation, minutes, and action tracking Contribute to a positive and collaborative workplace culture, providing assistance to peers and leadership where required PRE-REQUISITES: To succeed in this role, it is expected that you will have: Knowledge/Experience Minimum 3 years’ experience in an administrative, customer service, or logistics support role Experience working in a logistics, warehousing or Defence-related environment (preferred) Proficient in Microsoft Office Suite (Excel, Word, Outlook) and ability to work with ERP/WMS platforms Strong written and verbal communication skills Well-organised and able to prioritise tasks in a fast-paced operational environment Ability to maintain confidentiality, accuracy, and professionalism in all interactions Must be an Australian Citizen and eligible for (and maintain) an AGSVA Security Clearance Technical/Professional Skills required Strong attention to detail and time management skills Customer service orientation with the ability to handle enquiries effectively and diplomatically Basic understanding of warehousing/distribution functions and administrative workflows Ability to work both independently and as part of a team Qualifications – Education and/or professional Certificate III or IV in Business Administration, Logistics, or related field (preferred) Training in customer service or data entry (desirable) Exposure to Defence systems or processes (beneficial but not required) Apply today for a confidential chat.
