Costa’s Pacific Labour Acquisition Team recruits over 2,000 workers across our operations nationally and are currently seeking an Administration Coordinator – Visa & Mobilisation Lead. About the Role Reporting to the Mobilisation Manager – Pacific Labour Acquisition, you will be undertaking a range of administration, mobilisation and visa related activities including: Coordinate the preparation and submission of PALM Scheme visa applications in line with Department of Home Affairs requirements Manage visa variations, grant notifications and sponsorship-related submissions Maintain accurate visa, employment and mobilisation data across workforce and payroll systems Review medical and police documentation and escalate discrepancies where required Coordinate private health insurance onboarding, reconciliations and cancellations Support Offer of Employment changes linked to mobilisation activity Support the coordination of worker arrivals, departures and status updates Maintain audit-ready records and support compliance reviews Work closely with internal stakeholders and external partners to keep timelines moving About You To be successful in this role, you will demonstrate strong organisation, accountability and attention to detail. The ability to independently manage your workload and priorities, as well as collaborate effectively within a team to achieve deadlines, is essential. You will bring: Experience in administration, HR, compliance or regulated workforce programs Detail orientated with excellent data management and IT system skills and experience Team player with a genuine care and willingness to support participants and stakeholders. This includes cultural awareness and sensitivity The ability to manage competing deadlines and high volumes of documentation Awareness of and compliance with all aspects associated with data privacy and handling sensitive personal information. Commitment to delivering on accountabilities including working additional hours during peak season, which can be offset during quieter periods. Experience working with the PALM Scheme, migration processing, labour hire or similar regulated environments will be highly regarded. Working Arrangements Flexible working arrangements, including working from home, will be available for the right candidate. While the role is expected to operate remotely, there may be occasional requirements to attend site or support operational activities. We are open to candidates seeking between 0.7 FTE and 1.0 FTE and are willing to consider flexible working patterns (including school hours or structured part-time arrangements) for the right person. There may be occasional travel to domestic sites or airports during key mobilisation periods, however the ability to travel is preferred and not mandatory.
