You’ll manage executive priorities and day-to-day workflow, coordinate key governance and committee processes and provide high-quality project support that helps the Directorate deliver. About The Role The Executive Assistant/Project Officer is a dynamic, multifaceted position that supports the effective operation of the Corporate Services Directorate. It’s ideal for a proactive, highly organised professional who enjoys problem solving, anticipates needs and takes pride in enabling leaders and teams to perform at their best. You’ll provide cross-directorate executive coordination and governance support, including executive and management meeting cycles, correspondence, and briefings, as well as directorate-wide coordination. What You’ll Do In this role, you will: Manage and prioritise enquiries and requests to ensure timely responses and appropriate escalation Coordinate and maintain the Director’s diary, supporting effective time management, planning and forward scheduling Provide committee and governance administration, including scheduling, agenda preparation, minute-taking and action tracking Draft, edit and prepare high-quality correspondence, briefings, reports and presentations Provide responsive, professional administrative support across the Directorate, ensuring teams have what they need to deliver Coordinate complaints, enquiries and Councillor-related matters with professionalism, care and confidentiality. Coordinate projects and improvement initiatives, keeping deliverables on track, risks visible and stakeholders informed. Build and maintain strong relationships with internal and external stakeholders, supporting positive outcomes. Work proactively, anticipating needs and smoothing the path for leaders and teams in a busy environment. What You’ll Bring We’re looking for someone who combines executive-level support skills with calm, confident coordination and great judgement. You’ll Ideally Have: Minimum 5 years’ experience in executive support (or closely related) roles, ideally in a complex organisation or local government environment Demonstrated understanding of local government or corporate board decision-making processes Proven experience providing accurate, confidential and responsive support to Directors, Managers and senior leaders Excellent customer service and stakeholder skills, with the ability to build trust and negotiate positive outcomes. Strong project coordination skills, able to manage competing deadlines, stay composed under pressure and think ahead. High-level written communication skills, with confidence preparing correspondence, briefings and presentations.
