Staff access to gym and fitness facilities Live and work on the Gold Coast Position Purpose and Overview The Student Futures Administrator provides comprehensive administrative support to the Dean of Student Futures and the Dean of Studies, ensuring the effective coordination of academic and pathway-related processes across the senior school. The role supports the planning, organisation, and delivery of key academic administration functions, including examination coordination, subject selection, curriculum and senior schooling events, external assessment processes, and parent engagement activities. The position also coordinates administration for student pathway programs, including Vocational Education and Training (VET), school-based traineeships, distance education, and engagement with Registered Training Organisations (RTOs) and external providers, ensuring accurate data management and compliance with regulatory requirements. Working as part of the Student Futures team, the Student Futures Administrator contributes to efficient systems, clear communication, and a supportive environment that enables students to successfully navigate their academic programs and future pathways. Occupational Requirements & Qualifications Essential Demonstrated experience in administration with a complex or fast-paced environment Very high level of organisational and data management skills Current Working with Children Check (Blue Card) or ability to obtain. Familiarity with VET programs and pathways. Desirable Previous experience in a similar role within VET or school-based apprenticeship programs. Knowledge of QCAA processes, senior secondary certification and external assessment requirements. Experience with VET in schools, traineeships or distance education administration. Relevant qualifications in Business Administration, Education support or a related field. Skills & Competencies The Student Futures Administrator must have: Highly developed organisational and time management skills, with strong attention to detail and the ability to manage multiple priorities and deadlines. Excellent written and verbal communication skills, with the interpersonal ability to work effectively with a wide range of stakeholders. Proficiency in Microsoft Office and student management systems, with a high level of accuracy in data management and documentation. The ability to interpret and apply policies, procedures, and compliance requirements, and to work both independently and collaboratively as part of a team. Duties and Responsibilities: Academic Administration Provide comprehensive administrative support to the Dean of Student Futures and Dean of Studies across all areas of academic operations. Maintain accurate student academic records and ensure data integrity across College systems. Process subject changes and updates, including updating subject enrolments on the QCAA portal. Assist with curriculum administration and key academic timelines. Exam Coordination Coordinate the preparation, printing, and secure handling of internal examinations. Assist with the development and administration of internal examination timetables. Support the administration of external assessments and examinations in accordance with QCAA and regulatory requirements. Maintain strict confidentiality and security of all assessment materials. Support the Dean of Studies with the preparation and administration of NAPLAN. Subject Selection and Curriculum Events Coordinate the administration of subject selection processes, including data entry, changes, and communications. Assist with the organisation of subject selection evenings, curriculum information sessions, and career-focused events. Provide administrative support for senior pathway planning processes. Conduct industry visits to enhance student engagement Student Pathways and External Programs Provide administrative support for VET programs, traineeships, and external training providers, including enrolments, documentation and ongoing monitoring. Coordinate enrolments, documentation, and progress tracking for distance education students. Maintain accurate records of student pathways, including VETiS funding, certificates, traineeships, SET plans, and participation in external programs across relevant platforms. Support Student Futures initiatives and pathway communications, including career events, Schoolbox content, and promotion of tertiary, VET, and university extension opportunities. Parent Engagement and Academic Events Coordinate the administration and scheduling of parent-teacher interviews, including communication and logistics. Assist with the organisation of information evenings and other academic events. Provide administrative support to ensure the smooth delivery of key College academic functions. Data Management, Compliance and Communication Maintain accurate student data across College and external platforms, including QCAA systems. Ensure compliance with relevant regulatory, reporting, and audit requirements. Prepare reports and data as required by College leadership. Communicate professionally and in a timely manner with students, parents/carers, staff, and external providers. Maintain confidentiality and manage sensitive information in accordance with privacy and child protection legislation.
