About You: We are seeking a highly organised and detail-oriented Timetable Officer to join our Student Administration team. This role is responsible for coordinating and maintaining class timetables across our campuses, ensuring effective space utilisation, smooth scheduling, and alignment with academic and enrolment requirements. This is a full-time and fixed-term role (April to August). Key Responsibilities Timetabling and Academic Scheduling Create and publish the academic calendar, including key academic dates such as census and financial liability deadlines. Prepare, publish, and maintain examination timetables using a range of systems and spreadsheets. Support the Student Administration Manager in the creation of courses within the Student Information System (SIS). Develop and maintain class timetables that align with academic delivery, student demand, and operational requirements. Space Utilisation and Scheduling Allocate classrooms across campuses to maximise space utilisation and resolve scheduling conflicts. Ensure class sizes are optimised to align with room capacity and approved academic class caps. Allocate rooms for ad hoc bookings and internal events. Manage relationships with third-party providers for room rentals when required. Stakeholder Collaboration Establish and maintain collaborative relationships with academic teams and campus operations to plan course offerings and create class schedules. Work closely with recruitment, admissions, and enrolment teams to ensure timetables align with student recruitment and enrolment timelines. Collaborate with internal teams to support effective course delivery and student progression. Reporting and Operational Support Monitor timetable performance and produce reports related to class sizes, building capacity, and scheduling trends. Support projects relating to timetabling solutions and system improvements. Assist with initiatives that enhance scheduling processes and improve operational efficiency. Education, Experience, and Skills 1–2 years’ experience in a timetabling or scheduling role , preferably within the education sector. Strong attention to detail with the ability to manage complex scheduling information. Demonstrated ability to investigate, analyse, and resolve operational issues while developing practical solutions. Experience working with timetabling systems and intermediate to advanced Microsoft Excel skills (Mandatory) Understanding of relevant education regulatory frameworks such as the Higher Education Standards Framework , Standards for RTOs , and the National Code for international students is desirable.
