Job Description Key Responsibilities: Lead and manage the end-to-end workflow for current AE students, including deferrals, suspensions, withdrawals, extensions, change of course and change of campus. Ensure strict compliance with AE policies and procedures relating to academic records, data integrity and student privacy. Oversee non-returning, non-payment and course progress reporting, ensuring accurate and timely updates within the RTO framework and visa reporting through PRISMS in line with 30-day regulatory requirements. Validate and reconcile data across student management systems to maintain accuracy, consistency and regulatory compliance. Manage student reinstatement processes, ensuring all records are updated correctly and in a timely manner. Verify and release official student transcripts in response to third-party requests, in accordance with privacy obligations. Collaborate closely with cross-functional teams to effectively manage the full student lifecycle, ensuring ongoing ESOS compliance and providing guidance on ESOS-related matters to staff and students. Respond to student and stakeholder enquiries (in person, phone and email), providing accurate information and timely follow-up. Maintain up-to-date knowledge of relevant federal and state legislation relating to student records and privacy. Undertake additional administrative duties as required by management. Qualifications About You: Significant hands-on experience using PRISMS, with a high level of competence in visa reporting and compliance requirements. Demonstrated experience working within the ESOS legislative framework, with a sound understanding of compliance obligations. Minimum three years’ experience in an administrative role within the education sector. Strong attention to detail, with the ability to maintain accurate records and manage compliance-driven processes. Demonstrated ability to work collaboratively within a team environment and contribute positively to shared goals. Excellent time management skills, with the capacity to manage competing priorities and meet strict regulatory deadlines. Proven people management skills, with the ability to provide guidance, support and oversight where required.
