The Opportunity Join the Future Fund as Executive Assistant, Legal, providing high level, confidential administrative and executive support to the General Counsel and Head of Legal. This is a pivotal role within the Legal function, supporting senior leadership to operate effectively in a complex, high governance environment. This role offers a unique opportunity to work at the centre of legal operations, governance, and compliance, contributing to the smooth and efficient running of a critical corporate function. You will play a trusted advisory and coordination role, managing priorities, information flow, and key processes, while continuously improving systems and ways of working. The role is well suited to an experienced executive support professional who thrives in a fast paced environment, exercises sound judgement, and enjoys working closely with senior leaders and diverse stakeholders. Key Responsibilities Provide high level executive and administrative support to the General Counsel and Head of Legal, including managing diaries, appointments, competing priorities, meetings, briefings, travel, calls, and official functions. Proactively manage email inboxes, identifying items requiring action, applying sound judgement to prioritisation, and maintaining compliant and effective filing systems. Prepare, review, and edit correspondence, presentations, reports, and briefing materials to a high professional standard, ensuring alignment with organisational branding and style guidelines. Coordinate domestic and international travel and accommodation, including itineraries, briefings, and all supporting documentation. Ensure accurate storage, maintenance, and retrieval of documents within the electronic document management system (e.g. Objective). Support governance and compliance activities, including assisting with FOI processes, maintaining registers, coordinating response meetings, managing statutory deadlines, and completing quarterly and annual FOI reporting through the FOI Stats portal. Aid with compliance reporting requirements such as Questions on Notice (QONs). Manage legal invoices, including verification, reconciliation, and processing in line with agreed fee arrangements, budgets, and financial policies, liaising with external providers and internal finance teams. Provide administrative support to Legal sponsored projects or initiatives, including tracking actions, documentation, and timelines. Lead the management and continuous improvement of the Legal team’s matter management system and other administrative systems and processes. About You Formal qualifications in Business Administration or equivalent or demonstrated extensive experience providing high level executive support to C suite or senior executive leaders. Advanced user of Microsoft Outlook and Word, with strong working knowledge of Microsoft 365 tools including PowerPoint, Excel, Visio, and online collaboration platforms such as MS Teams. Experience working with document and matter management systems (e.g. Objective). Demonstrated ability to manage multiple competing priorities, exercise sound judgement, and work flexibly to meet business needs, including occasional work outside standard hours. Strong written communication skills with a commitment to producing high quality, accurate, and professional documentation. Highly developed interpersonal skills, with the ability to build trusted relationships, work effectively with diverse stakeholders, and “read the room”. Adaptive, resilient, and agile in thinking and action, with a strong work ethic and personal accountability. Collaborative team player who actively contributes ideas and continuous improvement initiatives. Proven ability to maintain confidentiality and handle sensitive information with discretion and integrity. A growth mindset, with a commitment to continuous learning and professional development.
