The Pop Up Event Co / WedMe is a boutique wedding company specialising in pop up weddings/elopements, event hire, florals and Wedding Trails across South East Qld and Northern NSW. We are seeking a highly organised Sales & Operations Coordinator to manage client enquiries, drive bookings and support internal operational systems. This is a process-driven position that blends sales, client management and operational oversight. Alongside sales, you’ll support the operational side of our WedMe platform. This includes vendor onboarding administration, tracking agreements and invoices, managing Wedding Trail databases and a comprehensive online directory. This part of the role is about keeping everything moving smoothly behind the scenes so the business runs cleanly and efficiently. Key Responsibilities Sales & Pipeline Management Respond to inbound enquiries promptly & professionally Conduct phone, Zoom and off-site sales consultations Prepare and send detailed, customised proposals via Dubsado Maintain structured follow-up and issue contracts Manage invoices and deposits via Xero Coordinate internal handover to our planning team when necessary Business Development & Event Operations Work alongside the Director to identify and implement new business development initiatives and revenue opportunities Support and optimise lead capture processes and marketing opportunities to strengthen enquiry generation Enhance venue and vendor relationships through proactive communication, regular check-ins, collaborative initiatives and consistent brand representation at events Manage event databases, CRM records and RSVP lists with accuracy and attention to detail Coordinate and deliver event blog updates and supporting content to maintain brand visibility Maintain consistent vendor and venue communication in the lead-up to events Track agreements, contracts and invoices to ensure accuracy Maintain organised internal systems, including inventory lists, proposal templates, pricing structures and package consistency Support internal reporting on bookings, conversion rates and overall sales performance This is a sales-focused role with operational responsibility. You will be accountable for conversion consistency and pipeline management, with commission paid on confirmed bookings. Weekend & Event Work While the role is primarily weekday-based, off-site sales consultations predominantly occur on weekends and availability for weekend consults is essential. You will also attend weekend open days, famils, expos and Wedding Trail events as required. These are key components of our sales strategy and brand presence. Flexibility for varied weekend work is required. About You The ideal candidate will have: Proven experience in sales, events, hospitality or client service Confidence leading client consultations Strong organisational and CRM management skills The ability to follow up consistently without supervision and convert several leads each week Professional communication and presentation Proficiency in Microsoft Office Suite and Google Drive (advantageous if you already have knowledge in CRMs and Xero) Australian citizenship Wedding industry experience is advantageous. Sales and operational capability are highly regarded.
