About the role This is an exciting opportunity for a proactive Facilities & Fleet Administrator to step into a short-term contract and make an immediate impact. If you enjoy fast paced environments, variety in your day and taking ownership of essential operations, this role offers meaningful hands-on work from day one. Working closely with the Facilities & Fleet Coordinator, you will support the smooth running of facilities and vehicle fleet operations by coordinating maintenance, engaging contractors, maintaining asset and compliance records, processing invoices and supporting health and safety initiatives. You will also contribute to improving systems and processes to ensure workplaces and fleet operations are safe, compliant and operating at their best. Key responsibilities include: Coordinate day to day facilities operations, including office maintenance, repairs and contractor engagement. Assist with building access management, security passes, visitor management and meeting room setups. Monitor facilities inbox enquiries and action requests in a timely and professional manner. Support health & safety initiatives, including incident logging and compliance tasks. Maintain facilities documentation, asset registers and service records. Coordinate company vehicle bookings, allocations, repairs, servicing and maintenance. Manage vehicle onboarding/offboarding, inspections, cleaning and reporting damage. Monitor and manage fleet utilisation, fuel cards, registrations, tolls and insurance documentation. Support drivers with enquiries, accidents, breakdowns and replacement vehicle arrangements. Maintain accurate and up-to-date fleet records, logs and compliance reporting. Process invoices, purchase orders and vendor documentation. Support internal stakeholders with facilities and fleet queries. Contribute to continuous improvement of processes, policies and workflows. About you We seek a self-motivated and friendly individual with: Essential Criteria: Previous experience in facilities, fleet management, administration or a similar coordination role. Strong organisational skills with the ability to manage competing priorities. Excellent communication and customer service skills. High attention to detail and strong problem-solving abilities. Confidence using Microsoft Office and other digital systems (e.g., facility or fleet management software). Ability to work proactively, independently and as part of a team. Demonstrated ability to maintain confidentiality and handle sensitive information. Valid unrestricted NSW driver’s licence.
