The Opportunity Our client is seeking an experienced Workplace Services Manager for a 12 to 14-month fixed-term contract to lead a high-performing team across multiple sites and deliver exceptional operational, facilities, and stakeholder outcomes. This is a rare opportunity to take ownership of a significant workplace portfolio, spanning the head office in Melbourne CBD and two additional locations in Geelong and Tasmania, while shaping the experience for staff, visitors, and key stakeholders. About the Role The Workplace Services Manager oversees a team and is responsible for delivering a secure, functional, and customer-centric workplace. You will lead all aspects of facilities management, contractor performance, team development, operational delivery, financial performance, and workplace experience across VIC and TAS locations. Working closely with internal leadership and external partners, you will ensure the office environments run smoothly, safely, and efficiently-while remaining highly visible and proactive across the floors. Key Responsibilities Facilities Management Manage planned and reactive maintenance across VIC & TAS locations. Ensure all contractors meet safety and compliance standards. Conduct regular WHS inspections and ensure a clean, well-presented workspace. Maintain accurate records of security, access control, and CCTV. Lead minor churn works and office relocation projects. Deliver operational process reviews and regular audits of security measures. Build strong vendor relationships and monitor performance against SLA's. Financial & Administrative Management Oversee budgeting, expenditure tracking, month-end reporting, and forecasting. Process and approve invoices, quotes, and expense reconciliations. Identify financial risks or trends and provide commercial recommendations. Support hospitality and concierge reporting, timesheets, and administration. Stakeholder Engagement Build strong relationships with internal leadership, staff, and peer workplace teams. Develop clear, concise, and professional communications and reports. Partner with building management, contractors, vendors, and external stakeholders. Align messaging and operations with broader organisational expectations. Team Leadership & Development Lead, coach, and mentor a team of five direct reports and one indirect report. Conduct performance discussions, goal setting, and team development activities. Foster a culture of collaboration, accountability, and service excellence. Support wellbeing and inclusion within the team. About You You thrive in dynamic environments with competing priorities and a wide stakeholder base. You're hands-on, proactive, and known for your ability to stay calm under pressure. You will bring: Minimum 3 years' experience across both hard and soft services (HVAC, lifts, electrical, security, projects). Strong stakeholder management across senior leadership, vendors, and staff. Experience leading facilities and workplace staff. High resilience, flexibility, and comfort operating in ambiguous environments. Strong communication skills both verbal, written, and in presentation formats. A service-driven mindset with the ability to balance operational and strategic tasks. Budgeting, reporting, and financial management capability. Experience in a hospitality, corporate, or highly service-oriented environment (advantageous).
