We’re seeking a highly motivated, organised and efficient Marketing and Operations Coordinator to provide support to provide professional administrative and marketing support to the Capital Markets team, ensuring efficient operations and effective campaign delivery across all aspects of the business. Coordinate marketing campaigns including Information Memorandums, presentations, brochures, and digital content Manage third-party relationships, enquiry schedules, and inspection bookings Create and manage property listings across JLL and external platforms Support pitch processes and new appointment submissions with document preparation Coordinate marketing materials for business development and client acquisition Liaise with internal and external teams to deliver strategic property marketing collateral Coordinate press releases, photography, print media, and social media content Manage pre-funded marketing budgets and process invoices Prepare correspondence, reports, agency agreements, and presentations with high attention to detail Coordinate meetings including booking, agendas, minutes, and logistics Maintain CRM systems including marketing lists, deal pipelines, and fee tracking Manage databases for financial systems, property portals, and enquiry registers Ensure accurate data entry and system integrity across platforms Assist accounting team with expense coding, fee invoicing, and payment follow-up Track recoverable costs and manage Trust Account deposits per legislative requirements Organize client events and marketing activities to drive market presence and engagement Handle incoming enquiries and distribute to appropriate team members Arrange travel, accommodation, and itineraries as required Provide general office support including relief concierge duties Complete training programs and collaborate with national Marketing and Operations teams Work autonomously and as a contributing team member following office procedures Interested? An ideal candidate would need to have the following qualifications: Confident self-starter with a can-do attitude and proven relationship-building abilities Strong formatting skills and document creation experience Advanced knowledge of MS Office packages (Word, PowerPoint, Excel) Sound knowledge and experience working with various systems and databases Keen attention to detail and strong customer focus Strong work ethic with excellent multi-tasking abilities Previous experience as team assistant, PA, or EA in commercial property or professional services (highly regarded) Enthusiasm for becoming a critical member of a close-knit team marketing significant commercial real estate assets in WA What can you expect from us?
