Key responsibilities Reporting directly to the Managing Director, you will operate as a trusted right-hand partner, ensuring the smooth and efficient running of the MD’s day and enabling focus on strategic priorities. Key responsibilities include: Proactive and end-to-end management of the Managing Director’s diary, inbox and commitments Preparing agendas, board papers, reports and presentations to a high standard Acting as a central coordination point between the Managing Director, executives, senior leaders and external stakeholders Managing confidential information with absolute discretion and professionalism Coordinating meetings, travel, events and functions, including after-hours commitments as required Anticipating issues before they arise and resolving them pragmatically and efficiently Supporting governance processes, board and committee activity where required Streamlining administrative processes and applying lean thinking to improve efficiency Following up actions and commitments to ensure deadlines are met Providing ad-hoc executive and business support in a fast-moving environment What success looks like In this role, success means: The Managing Director’s time is optimised, focused and protected Meetings are purposeful, well-prepared and outcomes-driven Communication flows seamlessly across the business, with clarity and professionalism Sensitive matters are handled with trust, judgement and discretion Issues are anticipated and addressed before they escalate Processes become simpler, faster and more effective over time You are viewed as a dependable, calm and highly capable partner by senior leaders You add value beyond administration by thinking ahead and taking ownership About You Along with being reliable, loyal and trustworthy, a successful candidate will demonstrate the following attributes: 5 years’ experience as an Executive Assistant or in a substantively similar senior support role Exceptional written and verbal communication skills Advanced proficiency in Microsoft Office and confidence working with executive-level documentation High levels of professionalism, maturity and emotional intelligence Strong time management skills and the ability to manage competing priorities with composure A proactive mindset with the confidence to use initiative and sound judgement A strong bias to action, with accuracy and attention to detail never compromised Absolute discretion and integrity when handling confidential and sensitive matters The ability to build effective relationships with senior leaders, colleagues and external stakeholders A positive, grounded personality with the resilience to operate in a high-expectations environment The ability to work autonomously while contributing positively to a close-knit, high-performing team A current driver’s licence If you are looking for a role where you are genuinely trusted, valued and relied upon and where your capability will directly impact the effectiveness of a Managing Director, this is an opportunity to take your Executive Assistant career to the next level.
