About the job The Engineering & Maintenance Assistant is a key role in the day-to-day management of inventory (engineering/maintenance related items, consumables, production equipment etc.) and services expenditure - such as compiling AED’s in workflow, compiling purchase requests and scanning quotations/invoices, following up on purchase orders with vendors, tracking vendor costs, and coding invoices. The position includes the data entry and maintenance of plant systems (such as MP2 and Workflow) as well as the entry and reporting of production data as required. Maintaining stock/ inventory levels of items recorded in MP2 and other inventory items in Engineering. The role will also provide reporting on various items for the departments, such as finance, purchasing and performance reports. Main Responsibilities Engineering Inventory Management Manage the inventory system for engineering spares and consumables Managing all elements of the process on the computerised maintenance system. i.e. stocking/re-stocking levels etc. Accurate financial reporting of inventory stock levels each month Receiving and ordering new stock Cycle counting and stocktaking Control and implementation of the barcoding system to manage stock Purchasing Procurement of non-inventory items Compliance to purchasing policy and liaison with purchasing department Negotiation with suppliers, where required Fast track of items, when required Reporting on purchase of items Sourcing for items to procure to specification provided Seeking alternative suppliers Raising purchase orders, issuing purchase orders, coding and processing invoices. Analysis and reporting Manage financial aspects by providing regular analysis of spend per supplier and item Monitoring and controlling financial performance, including analysing and managing variances to budget Financial logging for major projects. E.g. invoices, committed, budget forecast Optimising business process. i.e. work flow, to improve efficiency. Ensuring financial integrity of departmental reporting and systems Developing and implementing initiatives to reduce cost Regular collation and issue of performance reports for the area, in a timely manner Logging and analysis of energy data Customer Service Contribute to the development of a customer focused department, including the maintenance of good relationships both within the department, with suppliers and with other functional areas. Assist in management of adhoc projects Quality Compliance Ensure adherence to internal and regulatory quality systems by Ensuring that all work practices comply with relevant policies, procedures and regulatory guidelines Actively participating in the identification and implementation of strategies to improve site quality compliance About you Experience Experience within a similar role in large manufacturing industry would be advantageous Proven ability to work with cross-functionally across the business, and at all levels Soft & Technical skills: Some working knowledge and familiarity with electronic Systems such as SAP, scheduling systems etc is a must! Tech savvy and confident with likes of Excel and Microsoft suite Very strong communicator to work with internal trades and external vendors Extremely customer focused with excellent relationship building skills Why us?
