Purpose of the Role This is a newly created position following BGIS's successful acquisition of a government services contract. The Facilities Manager - Leased Properties will oversee a portfolio of leased buildings (and some owned) across the state, ensuring safe, compliant, and functional environments for occupants while managing landlord and property manager relationships. Reporting directly to senior operational leadership, you will coordinate maintenance delivery, tenancy-related works, and contractor activities, using technology and digital systems to streamline processes and support transparency. The ideal candidate is organised, collaborative, and customer-focused, with strong technical knowledge, a proactive approach, and a commitment to continuous improvement. Key Responsibilities - Manage maintenance delivery, inspections, safety requirements, and service response within leased sites - Coordinate planned and reactive maintenance, ensuring landlord obligations and lease requirements are met - Conduct regular site inspections to ensure safety, amenity, cleanliness, and functionality - Support tenancy works, minor fit-outs, relocations, and make-good planning - Liaise with landlords and managing agents to coordinate maintenance, access, and shared services - Act as the primary on-site contact for building occupants, resolving issues promptly and maintaining high satisfaction - Supervise contractor activities, ensuring compliance with access, permits, inductions, and safety controls - Use BGIS Connect and digital tools to manage work orders, reporting, and portfolio insights - Identify continuous improvement opportunities to enhance workflow, efficiency, and service delivery Education, Experience & Skills Essential - Experience managing facilities in leased or multi-tenanted environments - Strong understanding of landlord liaison, lease obligations, access protocols, and base building systems - Excellent customer service and communication skills - Contractor coordination and management capability in environments not fully controlled by BGIS - High proficiency with FM platforms, reporting tools, and digital work order systems - Ability to adopt new technologies, improve workflows, and drive operational innovation - Knowledge of compliance requirements for leased properties Desirable - Experience in government or large-scale facilities environments - Exposure to sustainability initiatives or technology-led FM improvements Workplace Flexibility Based o nsite at Melbourne CBD or client sites , full-time permanent with flexible start and finish times.
