Contract Administrator – Commercial Fit-Out Projects About the Company Well-known and highly reputable commercial construction and fit-out contractor with a strong reputation for quality delivery, repeat clients, and a collaborative team culture. They deliver technically detailed refurbishment and multi-level workplace projects across Sydney, typically in the $5M–$10M range, and are known for investing in their people and long-term career development. The Role An opportunity has arisen for an experienced Contract Administrator to join the project delivery team, supporting Project Managers across a portfolio of commercial fit-out and refurbishment projects. This is a hands-on, fast-paced role with exposure to the full project lifecycle, offering strong commercial responsibility and regular interaction with clients, consultants, subcontractors, and site teams. You’ll play a critical role in ensuring projects are delivered efficiently, profitably, and to a high standard. Key Responsibilities Assist in managing project budgets, cash flow, and financial performance Track live site costs, variations, and forecasts across multiple projects Prepare and manage subcontractor scopes, trade packages, and purchase orders Administer subcontract agreements and manage progress claims and invoices Support monthly cost reporting, margin analysis, and financial reconciliations Assist Project Managers with profit planning and value-engineering initiatives Review tender documentation and assist with scope analysis and risk identification Distribute tender packages and coordinate subcontractor pricing Analyse quotes and assist with trade recommendations based on value, risk, and capability Identify scope gaps, lead-time risks, and procurement constraints early Support FF&E procurement and manage lead-time registers Manage project documentation and registers using Procore Coordinate RFIs, submittals, shop drawings, and approvals Maintain drawing registers and issue updated information to site teams Assist with site coordination, inspections, and project meetings Prepare meeting minutes, action lists, and progress documentation Support handover documentation including O&Ms, certifications, and close-out packs Assist with WHS documentation, inspections, and site compliance Participate in safety walks and quality inspections Monitor environmental and quality controls relevant to commercial fit-out projects About You You are a commercially minded Contract Administrator who enjoys being involved across all aspects of project delivery and thrives in a collaborative environment. You will ideally bring Around 3-5 years’ experience as a Contract Administrator Background in commercial fit-out or refurbishment projects, ideally working on projects valued $5M Proficiency in Procore (essential) Experience with financial management software such as Jonas / Jobpac / Cheops or similar systems (highly regarded) Construction-related qualification (Construction Management, Quantity Surveying or similar). Strong understanding of subcontractor management, procurement, and cost reporting and budget reports Ability to read and interpret drawings, scopes, and construction documentation Solid commercial awareness with a focus on margin protection and cash flow Confidence working with Project Managers, Site Managers, consultants, and clients Strong organisation skills and ability to manage competing priorities.
