Your key responsibilities - Coordinate and manage the Directors' offices in a proactive and flexible manner. Activities may include:o Maintaining diaries by liaising with personnel to organise appointments/meetings and ensuring all relevant documentation is arranged prior to the appointment/meetingo Maintaining diaries in an environment of competing priorities and high-volume requests.o Performing document control by processing a wide range of incoming and outgoing correspondence ensuring the correspondence is allocated, proofread and tracked via eDOCS to ensure high quality, timely responses are prepared, disseminated and version controlled.o Arranging travel requirements and conference planning for the Directors.o Holding a Queensland Government Corporate Credit Card and being responsible for the proper and appropriate use of the card and taking personal responsibility for all transactions in line with the Corporate Credit Card Policy- Perform complex administrative activities which may be highly confidential and sensitive, maintain an effective bring up system to ensure performance standards and deadlines are met.- Provide advice and assistance to the Directors and team, using information systems on a range of administrative, procurement, human resources, records management, and correspondence policies and processes. Proactively undertake research as required.- Ensure compliance with relevant DJAG human resource, corporate governance, financial management and other standards, policies and legislation relevant to the operations of Director Guardianship.- Undertake project management activities in accordance with project management methodologies as directed by the Directors Guardianship.- Compose routine correspondence, briefing notes and reports using knowledge of the Guardianship team, or having the ability to rapidly acquire understanding.
