Job Description In this integral role you will be reporting to the Director of Sales and Marketing, and supporting the sales team. You will be responsible for the efficient organisation and coordination of onsite conferences and events; from bookings through to delivery. Working alongside the team to help achieve sales targets in line with the annual Sales budget for the Hotel. Your duties will include, but will not be limited to: Meeting the needs of secured conference business from compilation of event order to after function follow up. Actively listening to clients to understand their needs. Assist the sales team with account management from initial client inquiry, negotiating, contract proposals and up selling Completing preparing proposals, invoicing, preparing event orders and a variety administration task to ensure the timely execution of all planned events. Effective time management to meet weekly deadlines Effective communication with various departments to ensure the event is executed effectively Execution of all services for bookings, keeping in line with budgets, incentives, and objectives Negotiate with 3rd party vendors to achieve the most favourable terms Coordinate event planning liaising between relevant departments to ensure that preparations for event have been made, dietary requests and updates on numbers provided. Acing quickly to resolve problems. Meeting clients on the day of their event. Evaluate special event’s success and submit reports to the Director of Sales and Marketing as requested. Assist the sales team in hosting site inspections and trade shows when required.
