About the Role We are seeking a highly organised Operations Lead to support programs within a not-for-profit organisation. This position is essential to keeping the programs running smoothly, overseeing all back-office operations, day-to-day administration, and program coordination. This role is 100% remote, with some travel across Melbourne required; specific locations and purposes are to be confirmed. The position is a maternity leave cover, guaranteed for 6 months with the potential to extend to 12 months depending on the length of the leave. Key Responsibilities Oversee all administrative and operational activities for the Victorian program. Support the Program Director by managing correspondence, enquiries, and operational tasks, allowing her to focus on stakeholder engagement. Contribute to operational planning ahead of the annual application and matching cycle. Provide administrative support across all program projects, including application management, assessments, interviews, and the full matching process. Ensure data accuracy within the CRM, including contact details, attendance records, and key program information. Collect and prepare data for reports to support program governance and funding requirements. Coordinate logistics and delivery of annual events, including the program launch, training sessions, and other activities in Melbourne. Maintain and generate CRM reports, track program progress, and ensure information remains current. Act as the primary point of contact for participants and partner organisations on administrative matters. Manage communications across the Victorian program, including automated workflows, interview scheduling, placement confirmations, and candidate outcomes. Oversee administrative compliance with all program policies in Victoria. Attend major events, including the annual launch and all training sessions.
