The Opportunity: Join a leading global real estate company managing world-class commercial, retail, and residential properties. We're seeking a proactive Administrator to support the Property Operations teams. Purpose: Provide day-to-day administrative support to the Senior Vice President (Operations), Operations team, and Vice President (ESG), with ad-hoc support and diary management to senior leadership as required. Salary: $70,000 - $80,000 super 5% STI Located : Sydney CBD Work structure can be flexible for the right employee, varying from 1-2 days WFH based on team requirements Responsible for: Financial & Administrative: Upload and code invoices in Coupa accurately and in a timely manner Reconcile expenses and prepare AMEX card requests Diary & Event Management: Provide diary management assistance and coordinate meetings, video/teleconferences, workshops, and events (internal and external) Arrange venue bookings, catering, AV requirements, and domestic/international travel Documentation & Communication: Prepare PowerPoint presentations, reports, lease proposals, and correspondence to brand standards Coordinate and take minutes of meetings as required Handle photocopying, printing, binding, and document preparation Manage telephone queries and mail distribution for SVP Operations, SVP Finance, and teams Team Coordination: Arrange signatures for legal documents Provide secretarial and administrative support to the team and other teams Liaise with IT and HR teams for new starter requests, equipment orders, and workstation setup Provide new starter orientation on office procedures and filing systems Assist with corporate events including tenant and client functions; renew licenses as required Qualifications, experience and skills 2-3 years secretarial/administrative experience in corporate environment Extensive proficiency in MS Office Suite (PowerPoint, Word, Excel, Outlook, Visio) Strong organisational skills with high attention to detail Excellent communication abilities and strict confidentiality Proven ability to work independently in high-pressure, fast-paced environments Positive, proactive attitude with flexibility to adapt to changing priorities and assist across various areas Professional demeanour with ability to work effectively with diverse personalities Please apply directly or contact me at sarah.swann@perigongroup.com.au for more information.
