Job Description Position Title: APS4 Executive Assistant Employment Type: Non-ongoing (approx. 3 months, with potential to extend) Location: Canberra, ACT Hourly Pay Rate: $76,698 - $84,510 per annum plus 15.4% superannuation ABOUT THE ROLE We are seeking an experienced and highly organised Executive Assistant (APS4) to join a professional and dynamic team within a Commonwealth agency responsible for ensuring a safe and trusted food supply across Australia and New Zealand. This role will see you providing high-level executive and administrative support under limited direction, assisting senior executives with diary management, correspondence coordination, meeting preparation, and stakeholder liaison. You will also contribute to broader branch operations and provide relief support to the CEO’s Executive Assistant when required. KEY RESPONSIBILITIES Manage the daily schedule, diary appointments, calls, and meeting coordination for senior executive staff. Prepare and manage correspondence, meeting papers, and documentation in line with organisational standards. Coordinate travel bookings, itineraries, and financial reconciliations (including credit card and cost centre management). Maintain electronic and physical records in accordance with approved records management and security processes. Provide general administrative support to the Branch, including procurement and workflow coordination. Build and maintain strong working relationships with internal and external stakeholders, including government departments, industry representatives, and academic institutions. Undertake less complex research and assist in drafting correspondence, reports, and briefing materials. SKILLS AND EXPERIENCE Demonstrated experience providing executive or senior administrative support in a government or corporate environment. Advanced organisational and time management skills with the ability to manage competing priorities. Strong written and verbal communication skills with excellent attention to detail. Proficiency in Microsoft Office applications (Outlook, Word, Excel) and familiarity with records management systems. Demonstrated ability to work effectively both autonomously and as part of a team.
