THE POSITION The Administration Assistant - Main Reception is the first point of contact for visitors, clients, and staff. This role is responsible for delivering a professional, welcoming, and efficient front-of-house experience while providing high-quality administrative support to ensure the smooth operation of the office. All staff are employed by the CEO and Executive Principal of MBC and MBBC and they are responsible to them for the over-all performance of their duties. The CEO and Executive Principal delegates their authority to senior staff members for the effective management of the College. The role reports to the PA to the Principal. This is a permanent, part time role commencing early in 2026 (Friday 16/1/26). You will work 38 hours per week, Term time plus 6 weeks. Term time is 38 weeks per year and the additional 6 weeks are worked during the College term breaks. All staff need to be supportive of the values, Christian ethos and Ethical Statement of this Uniting Church Day school for girls from Kindy to Year 12. SKILLS AND ABILITIES Ability to communicate effectively with all College stakeholders. Competence in managing a busy office environment. Proficiency in Microsoft Office Suite. Efficient and effective time management skills. Excellent customer service abilities. Ability to engage with databases and other software. SPECIFIC DUTIES AND RESPONSIBILITIES Receptionist Duties As the first face of the College, be engaging, be helpful in greeting guests and helping them with the sign-in process. Ensure the foyer, the desk area are well presented, tidy and professional in appearance always. Answer incoming calls within 2-3 rings. Be friendly and engaging. Screen sales calls and transfer other calls as required. Receive deliveries and ensure they are appropriately directed. Receive, sort, and distribute incoming mail, manage outgoing mail and couriers. Administration Regularly monitor an inbox and action emails as required. Monitor stock and order as required for general stationery and process requests for departmental stationery orders. Provide administrative support including data entry, document preparation, filing, and photocopying. Provide support and assistance to Senior Leadership as requested. Actively contribute to a safety citizenship culture upholding health and safety policies, procedures, hazard reporting and safe work practices. EDUCATION AND/OR EXPERIENCE Relevant experience in a similar role. CERTIFICATES, LICENSES, REGISTRATIONS Posses or be eligible to posses a Positive Notice Blue Card ("Blue Card") WORK ENVIRONMENT An office workspace and computer desktop is provided.
