Your Opportunity As the Operations Coordinator you will efficiently and effectively coordinate operational teams in the delivery of cleaning, maintenance and educational delivery support services across the TAFE Queensland SkillsTech Acacia Ridge campus. This position reports to the Operations Manager and is directly responsible for a multi-disciplinary team of operational employees. This position reports to the Operations Manager. This is a Permanent, Full-Time opportunity. The position will be based primarily at Acacia Ridge however you may be required to perform work at other TAFE Queensland campuses. Key Responsibilities Contribute to the success of cultural change within the organisation through promoting and modelling SkillsTech's core values and Agreed Behaviours and the established TAFE Queensland values of Safety First, Working Together, Focussing on our Customer, Showing Initiative and Taking Responsibility. Plan day to day activities of operational staff by ensuring the satisfactory completion of all educational delivery housekeeping, maintenance, cleaning matrix/schedules and standards, including ongoing monitoring through monthly condition audits in accordance with approved task lists and relevant matrices. Co-ordinate and manage the periodic stocktake, centralised procurement and management of core consumables (i.e. maintenance, cleaning materials/supplies) and assets in accordance with the Region's purchasing policies. Co-ordinate the testing and tagging activities across the Region, ensuring that all equipment is appropriately checked within the required timeframes and accurate records are retained in order to provide meaningful reports to management. Co-ordinate an annual stocktake of non-current, portable and attractive assets, including training aids/donations and periodic spot checks of the inventory holdings to ensure compliance with financial requirements. Including the coordination of equipment calibration across the Region, including the maintenance of relevant registers, liaison with key stakeholders including external contractors, and coordination of required repairs. Assist in leading, managing and developing a team of Operations employees, including: prioritising and delegating work tasks; monitoring work volume and allocating resources, proactively considering financial impacts and minimising additional hours and/or overtime penalties wherever possible; ensuring compliance with approved processes; managing employee rosters/attendance, including the timely and appropriate management of timesheets and leave applications; providing regular feedback (both informally and formally) identifying and encouraging participation in training and professional development opportunities; and assisting employees to build their understanding of TAFE Queensland policies and procedures through knowledge sharing and regular exposure to relevant information forums (e.g. staff briefings etc.). Actively participate in a range of employment related activities for site-based Operations roles, co-ordinating with key stakeholders, including Operations management and Human Resources, with regard to: recruitment and selection processes; appointment, onboarding and induction activities; establishment and management of probation milestones and implementation of positive performance management principles, where required. Proactively monitor site activities to ensure compliance with safety management protocols, ensuring the existence of current Standard Operating Procedures (SOPs), Risk Assessments and Job Safety Environmental Analysis (JSEAs) for operational staff activities and other relevant safety documentation. Maintain the accurate and timely management of site-specific Archibus and Tech One records, including monitoring the progress of logged operational job requests, planning and prioritising of in-house requests, and ensuring the closure of completed jobs. Provide local financial management support, including the creation of purchase order requests, approval of invoices for payment, undertaking corporate card reconciliation activities, and supporting the development of submissions for the procurement of capital equipment, as required. Utilise computerised software and systems to support site-specific Operations functions, including assisting with the development and preparation of reports, briefs and correspondence relevant to the business operations of the team. Collaborate proactively with a wide range of internal and external stakeholders, including Region employees at all levels, other Government Departments, third party lessees, and general members of the community; nurturing key relationships to maximise opportunities for improved site services. Contribute to continuous improvement through active participation in the development and review of business processes, documentation and practices as they relate to operational activities, and by identifying and capitalising upon opportunities to maximise utilisation of resources, personnel and knowledge. Proactively participate in local Performance Planning and Development (PPD) processes, seeking opportunities for self-development and contributing to the development of the broader Operations business unit. Ability to effectively utilise and maintain relevant information and administration systems, including Microsoft Office, Archibus etc., including the ability to review operational data, draw conclusions, and make recommendations to inform business decisions. 5. Displays flexibility and responsiveness and has the initiative, attitude and ability to thrive within a dynamic, challenging and changing environment.
