About the Role We are currently seeking a highly motivated and organised Workforce Coordinator to join our team in a full-time capacity. This is a key operational role that delivers high-quality customer service and administrative support across workforce planning, recruitment, mobilisation, and compliance functions. You will work closely with the Head of Training, Project Managers, and the Clinical Operations Manager to help ensure staffing levels align with both business needs and service delivery objectives. This position also supports employee engagement through effective onboarding, training matrix administration, and relationship liaison. Key Responsibilities Coordinate the end-to-end mobilisation of staff, including travel, accommodation, medical bookings, PPE, inductions, and compliance documentation Support the recruitment process, including advertising, interviewing, reference checks, and onboarding administration Assist in workforce scheduling and rostering for both rostered and ad hoc requirements, ensuring coverage across client sites Provide general administrative support to Project Managers and Training Managers, including data entry, reporting, and documentation management Maintain accurate and up-to-date employee records, including timesheets, training matrices, compliance documents, and onboarding materials Build and maintain strong working relationships with employees through regular engagement and support Liaise with clients as needed to support workforce operations and maintain service consistency Ensure all field staff have up-to-date onboarding and induction records to support compliance Maintain accuracy of information across internal systems (e.g. JobAdder, INX, MyPass, Fieldglass, Pegasus) Essential Duties Deliver a consistently high level of customer service to both internal and external stakeholders Actively contribute to a collaborative team environment and drive service excellence Comply with privacy, confidentiality, and WHS policies Provide after-hours support to clients and employees as required Participate in regular employee engagement initiatives and review calls Escalate any service disruptions or compliance concerns to management Support WHS initiatives and help ensure a safe working environment for all staff Qualifications and Experience Minimum 2 years’ experience in a workforce coordination, scheduling, or mobilisation role Certificate IV in Human Resources (highly regarded) Experience in Health, Mining, or Labour Hire industries is highly desirable Strong skills in Microsoft Office Suite, particularly Excel, Word, and PowerPoint Experience with systems such as JobAdder, XREF, VEVO check, INX, SAMS, MyPass, Fieldglass, Pegasus Key Skills and Attributes Excellent organisational and time management skills, with the ability to manage competing priorities Strong attention to detail and a high level of data accuracy Clear written and verbal communication skills Flexible and adaptable in a fast-paced, dynamic environment Strong interpersonal skills with a professional and client-focused attitude Ability to maintain confidentiality and handle sensitive information with discretion Capable of working both independently and as part of a collaborative team Other Requirements Commitment to workplace health and safety (WHS) requirements Willingness to take on additional tasks as required to meet operational needs A proactive attitude with a focus on continuous improvement Why Join Us?
