The Department of the House of Representatives is seeking applications from those interested in directly supporting the work of the House of Representatives and members of Parliament at Parliament House in Canberra. This is an ongoing opportunity within the Clerk's Office. The Clerk's Office supports the Clerk and Deputy Clerk of the House of Representatives, who are the two most senior officials of the department. The Clerk's Office coordinates a range of departmental activities and processes and provides high level support to the Clerk, Deputy Clerk, and the departmental Executive as a group, in their respective management and chamber support roles. About the role The occupant of this role will provide high level administrative support to the Clerk and Deputy Clerk in their respective management and chamber support roles, and will work with the department's Executive to coordinate administrative support to the broader department. This role facilitates effective and efficient processes in the Clerk's Office and coordination of queries and requests to or through the office. The key duties of the position include The Executive Assistant will: 1. Provide comprehensive executive and administrative support to the Clerk and Deputy Clerk of the House, including: coordinating responses to queries and requests to the Clerk or the Deputy Clerk; liaising with all work areas of the department; undertaking initial drafts of routine briefing material and correspondence; managing the smooth workflow of administrative processes; and undertaking clerical and related tasks. 2. Provide administrative support to the Clerk and Deputy Clerk of the House in procedural matters, including: processing of bills, amendments and procedural motions, with the guidance of the Director Executive Support; processing 'Matters of Public Importance' topics and arranging transmittal to the Speaker of the House; and in cooperation with other work areas, ensuring bills and associated material are presented to the Clerk of the House for signature. 3. Support a range of activities that take place under the auspices of the Clerk's Office, including: preparing a draft roster for Clerks-at-the-Table in the House and Federation Chamber and managing alterations; providing administrative support for seminars and other programs for Members and their staff; and coordinating the publication of House Update for Members. 4. Assist the Registrar of Members' Interests with maintaining the Register of Members' Interests, the Register of Members' Qualifications and the Members' Training Program Register.
