About the Role We are seeking a professional and welcoming Receptionist to be the first point of contact for families, visitors, and internal staff. This role is central to ensuring smooth day-to-day operations by greeting visitors, supporting the arranging staff, and providing administrative assistance. The ideal candidate will be approachable, organised, and confident managing multiple tasks while maintaining a calm and professional manner. On-the-job training and a tailored induction plan will be provided. Key Responsibilities Front Desk & Visitor Support Greet families and visitors warmly, providing a professional first impression; Assist visitors dropping off items; Ensure families are supported when arranging staff are occupied or in meetings; and Provide someone at the front desk when the doors open to the public. Administrative Support Take accurate notes and messages for staff, ensuring timely follow-up; Email and coordinate with internal staff to set up first calls in Encompass; Support arranging staff by reducing interruptions during family meetings; Manage incoming internal phone calls (calls are routed externally to the national call centre for families); and Maintain organisation of arrangement packages and other presentation materials. Team Collaboration Work with a network of colleagues to find answers when needed; Build strong relationships within the team to provide additional support over time; and Liaise with key contacts identified during induction for guidance. Other Duties Handle ad hoc tasks as required to support the smooth running of the office; and Represent the organisation professionally to help retain families and build trust. Requirements Previous experience in reception, administration, or customer service is an advantage; Excellent interpersonal and communication skills; Basic computer skills and confidence with desk phone systems; Ability to multitask, stay organised, and remain calm under pressure; Professional, empathetic, and approachable manner; and Flexibility to adapt to varying visitor volumes (from none to several per day).
