Your role at St John of God Subiaco Hospital In this role you will provide administrative services and support to the Learning & Development Department. The Position Provide general administration support for the department including use of generic office equipment such as photocopying, faxing, maintaining stationery and hospitality supplies, and maintaining filing systems. Manage communications including telephone, mail and emails. Prepare draft responses on request as required. Coordinate meetings for department caregivers as required. Provide secretarial support to department meetings and ensure typing and distribution of minutes, correspondence and memos is completed in an accurate and timely manner. Assist with the coordination of local training logistics including, but not limited to: Preparing and circulating brochures, flyers and promotional materials internally and externally. Coordinate the course booking system including venues, catering and equipment for all programs where required. Ensure adequate supply of educational material/manuals. Develop a process to ensure that training facilitators and attendees are reminded of upcoming training. Assist with the organisation of the Hospital’s orientation and induction activities. Ensure venues are set up and packed away as required. Assist the Coordinator with the processing of financial invoices in a timely manner. Manage the administrative component of student placements in liaison with the Coordinator. Respond in a timely and appropriate manner to all customer enquiries. You will have experience in a similar role and have advanced word processing skills with experience in a range of MS Office packages and data reporting systems. To succeed you will demonstrate well developed communication and customer service skills and the ability and confidence to work effectively with a range of stakeholders.
