Where to find more information about us: https://bhworldwide.com/ The Opportunity The Operations Coordinator is r esponsible for ensuring Import / Export shipments a re managed and completed effectively, efficiently and compliantly from start to finish, delivering Best in Class service to our customers at all times. Location: Melbourne Line Manager: Station Manager Working Pattern: 38 hours per week, Monday to Friday 8:30 am to 5.06 pm (occasional overtime required) Key Role Accountabilities Compliance Ensure all export and import processes comply with Australian regulations, including security and safety standards. Adhere to B&H QMS requirements, ensuring swift and accurate completion of shipments within Australian operating procedures and customs law. Ensure compliance with A.A.C.A. security requirements and report any non-conformance identified. Operations Work within the Export & Import Operations team, to complete shipments from start to finish always ensuring excellent customer service. Update comments and actions within the Company system to allow understanding of workflow and handling of shipment specifics without the requirement to locate individual file. Delete any unnecessary emails, to ensure efficiency and Best in Class service. Investigate and implement the most cost-effective dispatch of each shipment in accordance with the customers' instructions. Liaise and negotiate with the suppliers to ensure their costs are being provided at the time of booking. Manage all necessary documentation and online forms for the efficient, cost-effective and lawful execution of all import activities. Provide ‘collection / delivery notes’ and / or notification ‘in writing’ of all relevant collection / delivery instructions. Ensure Customs Entries are being completed as per the written instructions from the customer or as per the agreed customer SOP and are completed to a high standard. Liaise with Warehouse and Transport Department for reliable distribution for imports / exports. Arrange direct drives as per customer requests. Arrange On Board Couriers when necessary. Ensure that any customer service failures, billing issues, other issues and / or errors are reported without delay to the Station Managers and Head of Operations – AU. Follow B&H Worldwide company Processes and Standard operating procedures ensuring company KPIs are met and proactively manage operational files through agreed KPIs. Customer Focus Maintain and develop customer relationships alongside customer solutions and any other relevant departments. Answer and return customer emails and calls in a timely manner and to agreed standards. Locate and track shipments and respond to customer enquiries. Billing & Profitability Ensure all billing is carried out within Company timeframes, monitoring and ensuring correct input of purchase costs into the system enabling accurate billing and profit reporting. Review and identify areas to maximise profitability by proactive file management. Quotations: Ensure quotations are responded to within defined timeframes and as per customer requirements. Provide required follow up and input to the company system, should the quotation come to fruition. Liaise with Customer Solutions team to follow up on reasons why quotations were not gained and make any reasonable amendments to future quotations to try to secure the business. Your Experience: This role is underpinned by excellent customer service skills. Proven experience working in Imports / Exports in a customer-facing, fast-paced environment, preferably with aerospace logistics industry. Proficiency in Microsoft Office (Word, Excel, Outlook; PowerPoint desirable) and ability to use bespoke company systems. The ability to work pro-actively using own initiative. Strong communication skills, both written and verbal. Experience dealing with a varied customer base and the ability to build strong relationships. Problem solving skills, with the ability to consider several possible options and decide on most appropriate method. Strong organisational skills with the ability to prioritise as well as focus on the detail Excellent process and planning skills. Strong commercial awareness, understands impact of actions E xcellent attention to detail and accuracy. Proactive, with ability to work independently and as part of a team. Experience of working with Cargowise and Dangerous Goods Compliant would be an advantage (Advantageous) Forklift licence, HR licence, White ASIC, ACSAT certification.
