About the role We are seeking an dynamic, ambitious, and tech saavy individual with a "Can do" attitude to manage our busy office of approx 12 Administrative/Management professionals. The position is full time and requires attendance at the office five days per week. As we are a commercial air conditioning company, the role can be fast paced and reactive, therefore you will need to work well under pressure and be able to meet deadlines. The ideal candidate will have trade-based management experience , a strong understanding of CRM/job management systems , and the ability to champion new technology and software across the team. What you'll be doing Manage and oversee all office administrative functions, including record keeping, filing, ordering supplies, and coordinating office equipment maintenance Serve as the primary point of contact for our adinistration staff for further mentoring and support. Providing executive-level support to the Director and leadership team. Acting as the first point of contact for administration staff, offering mentorship and guidance. Implementing and maintaining efficient office systems to improve productivity. Supervising and mentoring junior staff, including task delegation, training, and development. Managing a fleet of 20 vehicles, including servicing, repairs, and compliance registers. Delivering strong customer service outcomes and maintaining high satisfaction standards. Coordinating office meetings, events, and key activities What you need to have to be suitable 5 years’ experience in office management or administration leadership (HVAC/trades/facilities background highly regarded). Strong organisational and multitasking skills with the ability to prioritise and meet deadlines. Excellent communication and interpersonal skills to liaise with staff, clients, and stakeholders. Proficiency in Microsoft Office 365 and CRM/job management systems (simPRO highly regarded). A proactive, solutions-focused leader with high attention to detail. Demonstrated ability to lead, mentor, and motivate a team. Knowledge of office management best practices and compliance frameworks. Why Join Us?
