Role Overview This is a central role responsible for providing comprehensive support and helping maintain high standards in the use of our Maintenance System for the Queensland Maintenance division. The role encompasses a broad range of administrative, compliance, and coordination functions to support operational efficiency across branches. Duties include however not limited to: System Support & Training Provide helpdesk support for MEX users, resolving queries and escalating to MEX Support when needed Deliver ongoing mentoring and training to build end-user proficiency Conduct regular audits of MEX usage and report on compliance, overdue work orders, and data accuracy Administrative & Operational Support Perform general administrative tasks including data entry, document management, and record keeping Ensure compliance with regulatory and internal standards Support branches with consistent processes and communication Parts & Resource Coordination Assist with labour resource scheduling and availability tracking Support asset tracking, allocation, and maintenance scheduling Provide technical guidance to site-based maintenance teams, especially for cranes and heavy lifting equipment Coordinate breakdown responses to minimise downtime Assist with budgeting and forecasting for maintenance activities Manage logistics for major maintenance events including crane shutdowns and inspections Support inventory and parts management aligned with maintenance schedules The ideal candidate will have the below skills and attributes: Experience in mechanical planning preferred but not essential Proficient in Microsoft Office (Word, Outlook, Excel). Strong time management skills and a proactive, team-oriented approach. Excellent verbal and written communication skills. Minimum 1–2 years’ experience in a similar administrative or coordination role. Sound understanding of accounts receivable/payable processes. Ability to prioritise tasks, meet deadlines, and manage competing demands. High attention to detail and accuracy. Professional, courteous, and tactful in all interactions.
