About The Role The primary purpose of the Administration Officer – Jajumbora Child and Family Centre is to provide a welcoming and efficient front desk service, ensuring all visitors and clients receive a positive first impression of the centre. This role is essential in supporting the smooth operation of the centre by managing administrative tasks, coordinating appointments, and assisting with client inquiries. Duties Front Desk Management Greet and assist all visitors and clients in a friendly and professional manner. Answer and direct phone calls, taking messages as necessary. Maintain a clean and organised reception area. Appointment Coordination Schedule and confirm appointments for clients with various service providers. Manage the centre's appointment calendar and ensure timely communication with clients. Administrative Support Perform general administrative tasks such as filing, photocopying, and data entry. Assist with the preparation of reports and correspondence. Maintain accurate and up-to-date client records. Client Assistance Provide information and support to clients regarding available services and resources. Assist clients with completing necessary forms and documentation. Handle client inquiries and resolve issues or escalate them to the appropriate staff member. Organisational Contributions Commit to a high level of quality management through the use of LogiQC quality management systems. Contribute towards the development of Child and Family Centre Reception processes. Actively participate in the maintenance of a high level of workplace health and safety standards. Desired Skills and Experience Required Must identify as an Aboriginal or Torres Strait Islander person in accordance with s25 of the Anti-discrimination Act 1991 (Qld). Minimum Certificate III in Business/Administration related field. Excellent communication and interpersonal skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Strong organisational and multitasking abilities Ability to handle sensitive information with confidentiality Blue Card Immunisations National Police Certificate Evidence of Work Rights Preferred Experience working within an Aboriginal and Torres Strait Islander Organisation. Experience working with young children and families . Familiarity with client management systems. Basic understanding of child development and family dynamics.
