The Company: This exceptional company is a leading events supplier in Melbourne. They are looking for an experienced Event Crewing and Project Coordinator to join their team to work with their casual crew and manage projects. Position Terms: Full-time permanent role Hybrid working 3 days a week in the office Salary: $75,000 - $80,000 plus super Experience managing and scheduling event crews and team members is essential for this role. The Role: The Event Crewing and Project Coordinator role will report to the Director of the business and will be responsible for coordinating all the technical crew for events as well as handling the logistical management of all equipment for events. This role is responsible for hiring, training, managing and scheduling all casual event crews for projects. Key Responsibilities include; Crew Management: Scheduling and book internal and freelance crew for for all projects and events, ensuring each team has the right skills and experience for the job Maintain an up to daye database of crew availability, skills, and certifications Serve as the primary point of contact for crew members regarding scheduling, travel, and onsite logistics Manage crew timesheets and work reports, ensuring accuracy for payroll and project billing Schedule training sessions for crew as required Always handling recruitment for internal and external crew during weekdays to ensure on top of the crewing database Logistics and Equipment Coordination: Work closely with client and warehouse team on the allocation, preparation, and transport of all AV equipment to and from event sites Work closely with the warehouse team on freight coordination to ensure all gear is prepped, tested and loaded on time Manage vehicle bookings and routing for equipment delivery and crew transport Handle logistics for cross state including flight and accommodation bookings Communication, Administration and Reporting: Collaborate with Account Managers to manage client services after a sale, ensuring a clear understanding of event requirements and logistics Build and matain strong client relationships both before and after events Proactively identify and resolve potential logistical or scheduling issues Maintain accurate project records, including budgets, run sheets, booking confirmations and expense tracking Work with clients, team members and crew to secure insights, learnings and feedback to support future busines and client needs The Candidate: The successful candidate will have experience working within the events industry within a scheduling role. Experience working within an Event Supplier is highly desirable. Experience scheduling and managing event crews and teams is essential for this role. Ability to lead and coordinate a diverse team. Ability to manage conflicting deadlines and priorities. Initiative and ability to work independently. Strong administration skills. Excellent time management skills. Strong written and verbal communication skills. Excellent conflict resolution skills. Exceptional problem solving skills. Ability to work outside of normal business hours when required.
