Job Description Position Title: APS4 Executive Assistant Employment Type: Approximate 6-month non-ongoing contract with possibility of extension Location: Canberra, ACT Hourly Pay Rate: $78,770 per annum plus 15.4% superannuation Security Clearance/Requirements: Baseline security clearance ABOUT THE ROLE An exciting opportunity exists for an experienced Executive Assistant to support senior leadership within a Federal Government department. This dynamic role involves managing executive calendars, coordinating travel and meetings, and supporting a wide range of administrative functions critical to the smooth operation of the division. KEY RESPONSIBILITIES Diary management, travel coordination, and meeting preparation including the collation of documentation and briefing packs Manage incoming communications, including call triage and directing queries to appropriate stakeholders Draft routine to moderately complex correspondence, undertake minute taking, and manage administrative duties such as filing, photocopying, and document scanning Coordinate responses to ministerial and parliamentary requests via the Parliamentary Document Management System (PDMS) Provide assistance with financial administration, including corporate credit card reconciliation and use of expense management systems Build and maintain professional relationships with internal and external stakeholders Contribute to process improvement and efficiency initiatives within the team Participate in the Executive Assistant Network and support broader branch functions as required SKILLS AND EXPERIENCE Strong organisational and time management skills with the ability to manage competing priorities High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and expense systems such as Expense8 Excellent written and verbal communication skills Ability to manage confidential information with discretion and professionalism Strong attention to detail and effective problem-solving skills Well-developed interpersonal skills, with the ability to liaise with stakeholders at all levels Proven ability to work effectively in a fast-paced and dynamic environment ELIGIBILITY Australian citizenship is required Baseline security clearance is required at time of application.
