Position : Recruitment Coordinator (Maternity Relief position) Start : ASAP Likely Duration : Up to April 2026 Salary : Dependant on experience Location : Port Macquarie Primary Purpose of the Position The Recruitment Coordinator plays an important role in keeping things running smoothly in a busy and fast-paced recruitment team. This role is all about supporting both our Clients, Candidates and Consultants, so strong communication, organisation, and a can-do attitude are key. Working closely with our Recruitment Consultants, you'll help manage the day-to-day tasks involved in placing candidates into roles across both government and private sector clients. You'll need to be comfortable juggling a few things at once, solving problems as they come up, and working well both independently and as part of a small, supportive team. Key Accountabilities/Responsibilities: Develop and publish engaging and well-targeted job advertisements across appropriate platforms to attract quality candidates. Prepare comprehensive candidate coversheets for client submissions and internal referrals. Manage the submission of candidate applications through various client portals, ensuring accuracy and timeliness. Coordinate background screening processes including police checks, health assessments, reference checks, and any other client-specific compliance requirements. Oversee the end-to-end onboarding process for new hires, including issuing correspondence, distributing onboarding packs, and collecting all necessary compliance documentation. Maintain up-to-date and accurate candidate records within Job Adder, including licenses, qualifications, skills, certifications, and other relevant documentation. Monitor and manage candidate compliance requirements across multiple sectors, including white-collar, traffic control, and healthcare. Promptly follow up on any timesheet-related issues for current contractors, ensuring timely resolution. Support the review and shortlisting of employment applications, as needed. Draft and issue employment contracts for newly onboarded candidates. Take ownership of the onboarding and induction process for new on-hire employees, ensuring a smooth and professional experience. Contribute to continuous improvement initiatives and support divisional project work as required. Assist with updates to internal systems and data management processes. Participate in the review and enhancement of operational processes both within the division and across the wider organisation. Skills Required Strong customer service and communication skills, with the ability to engage effectively in written, verbal, and face-to-face interactions. Proactive and highly organised, with demonstrated ability to prioritise tasks, meet deadlines, manage multiple responsibilities, and effectively solve problems. Capable of working independently with minimal supervision, while also contributing positively to a collaborative team environment. Proficient in using a range of digital systems and platforms, with the ability to quickly adapt to new technologies. Strong understanding of data security and privacy principles, with a commitment to maintaining confidentiality at all times. Exceptional attention to detail and a high level of accuracy in all aspects of work. Expected working times are 8.54 to 5.00 pm Mondays to Friday which equals a 7.36-hour day and 38-hour week. This role is site based only.
