Your new role - Operations Coordinator The Operations Coordinator – Import Air Freight is responsible for managing the end-to-end coordination of inbound air freight shipments, ensuring timely and compliant clearance and delivery. The role requires strong attention to detail, proactive communication with clients and service providers, and an ability to manage multiple shipments in a fast-paced environment. Manage the full operational process for import air freight shipments from arrival to final delivery. Coordinate with airlines, ground handling agents, and transport providers to ensure timely release and delivery of cargo. Receive, check, and process pre-alert documentation from overseas agents. Prepare and verify import documentation including air waybills, invoices, and packing lists. Monitor shipment milestones and update tracking systems accordingly. Arrange transport bookings for deliveries, ensuring service levels are met. Liaise with the customs brokerage team to ensure accurate and timely lodgement of import declarations. Assist in ensuring compliance with Australian Border Force (ABF) and Department of Agriculture, Fisheries and Forestry (DAFF) requirements. Maintain accurate and complete shipment files for audit purposes. Ensure correct application of Incoterms, tariff codes, and duty/GST calculations (in collaboration with customs brokers). Respond promptly and professionally to customer queries and requests. Work with the sales and account management teams to support client needs and maintain service excellence. What you will need to succeed Previous experience in air freight import operations within the freight forwarding industry. Operations Coordinator experience Knowledge of import documentation requirements and processes. Familiarity with Australian customs and quarantine regulations. Strong organisational skills with the ability to manage multiple priorities. Excellent verbal and written communication skills. High attention to detail and accuracy. Proficiency in Microsoft Office Suite and freight management systems CargoWise1 and CyberFreight. Experience with electronic customs lodgement systems (e.g., ICS). Knowledge of cargo handling and airline operations. Customer service background in logistics or supply chain.
