The impact you will have in this role Camp Quality’s Executive Assistant / Office Coordinator plays a central role in keeping the leadership and operations running smoothly. You will provide high-level executive support to the CEO, Executive Team and when required, the Board of Directors. You will also manage the back-office operations and administration of their North Sydney office, while providing project-based support to our other offices across Australia as needed. In this pivotal role, your organisational expertise, proactive approach and attention to detail will enable leaders to focus on delivering life-changing programs for children and families. You’ll ensure the workplace runs efficiently, is welcoming for all and provides the foundation for their mission to thrive. Key responsibilities CEO & Executive Team Support Manage complex diaries, schedule meetings and arrange travel for the CEO and senior leaders. Prepare correspondence, documents, reports and presentations. Maintain and update research materials and statistics for speeches, publications and events. Coordinate the distribution of organisational marketing collateral to stakeholders. Oversee expense reporting, reimbursements and administrative follow-ups. Board & Sub-Committee Support Coordinate calendars, logistics and documentation for Board and Committee meetings. Draft and circulate agendas, meeting packs and accurate minutes. Manage practical arrangements including venues, travel, videoconferencing and hospitality. Provide administrative support to the Chairman as required. People & Culture Support Assist with onboarding and offboarding processes, including systems access and welcome activities. Organise and lead “All In” staff days and All Staff meetings. Office Administration & Coordination Oversee the smooth running of the Sydney office and provide backup support to smaller offices. Act as the first point of contact for calls, emails, visitors and supplier relationships. Manage office supplies, equipment, repairs and building services. Liaise with building management on repairs, maintenance, evacuation drills and car parking. Coordinate parking, couriers, mail and archiving processes. Keep common areas tidy, safe and welcoming. Plan and coordinate internal events, workshops, and VIP visits. Skills and experience You’ll be the organisational heartbeat of the team - proactive, adaptable and committed to making a real difference in the lives of children and families. You will also have: Advanced MS Office skills (preferably including SharePoint) and the ability to quickly learn new systems/software. Excellent interpersonal and written/verbal communication skills. Experience in a similar role, including supporting CEOs, Boards and senior executives. Highly professional approach to internal and external stakeholders. Proven ability to maintain confidentiality and handle sensitive information with discretion. Strong writing, formatting, proofreading and editing skills with exceptional attention to detail. Demonstrated ability to multi-task, prioritise a busy workload and adapt in a fast-paced environment. Ability to foster and maintain effective, professional relationships at all levels. A can-do attitude with a willingness to take on additional duties. Current driving licence. A people-first mindset with high levels of empathy and discretion. Current Working with Children Check or willingness to obtain.
