We are looking for an experienced Executive Assistant to join our team in Sydney, supporting our Industrials Advisory team. Working in a fast-paced and close-knit team environment, you will support executives and members of the team with inbox and diary management, arranging internal and external face to face meetings and overseeing multiple video calls per week. You will manage domestic and international travel arrangements including accommodation, visas, client entertainment and expense claims, and interact regularly with other assistants to coordinate conference calls with international offices and across different time zones. Qualifications & Requirements: - 5 years experience providing executive assistant support, preferably in the banking and finance industry - A proactive approach, with the ability to understand the nature of the business and priorities within the team while maintaining a high level of discretion, confidentiality and professionalism - Highly proficient in Microsoft Office and Concur and a demonstrated ability to quickly gain command of new systems - Strong organisational, planning and multi-tasking abilities and the ability to effectively manage conflicting priorities - Excellent relationship management with the ability to liaise, interact and communicate effectively with stakeholders at all levels, both internally and externally - Work collaboratively with the wider EA team across Sydney and Melbourne Responsibilities: - Coordinates all aspects of executive level manager appointments, meetings, receptions and conference calls - Coordinate travel arrangements; domestic & international - Prepares, reconciles, and tracks expense reports through Travel and Entertainment Expense system - Orders supplies and process invoices through Procure to Pay system - Process and follow-up on Virtual Requests - Assists in ad-hoc projects and events as needed - Works collaboratively with other administrative staff - Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behaviour, conduct and business practices, and escalating, managing and reporting control issues with transparency.
